What You'll Do:

Responsible for prioritizing and coordinating office operations & procedures in order to ensure organizational effectiveness and efficiency.
Design and implement office policies, procedures and operations in accordance with HR.
Process vendor invoices through Nexus payables.
Work with IT for all presentation needs and troubleshooting for conference rooms.
Conduct new hire office orientation for corporate office staff.
Be responsible for and implement safety initiatives for corporate office and assist with safety programs for all of HPP.
Lead all aspects of and implement Green & Recycling Initiatives.
Back up for Receptionist & mailroom functions.
Maintain office aesthetics & upkeep of non-IT related equipment.
Supervise office staff:
Assign and monitor clerical functions
Evaluate staff performance
Maintain office efficiency:
Maintain current inventory
Anticipate supply needs
Order & handle all office supplies and office furniture
Process vendor payments
Special Projects as assigned:
Identify all necessary resources of project
Develop strategic plan for achievement of milestones
Stay in sync with timelines and ensure accomplishment of all established objectives
Analyze proposed projects, quantify impact as projected on business and prepare business case
Manage and direct design enrollment, deployment as well as governance of event’s new initiatives
Responsible for taking raw ideas, hypotheses/scenarios as well as crafting them into comprehensive deployment plans to implement effectively
Identify individuals throughout company willing to participate in deployment
Conduct research on different critical initiatives
Identify and ensure crossover barriers to successful completion of project
Coordinate interactions so that objectives and updates are conveyed to cross-function teams and senior management

What You'll Need:

Bachelor’s Degree in business or related field preferred.
5-7 years office administration or executive assistant experience required.

What Will Get You Noticed:

Excellent computer skills and demonstrated solid understanding of computers and software including MS Windows, Word, Excel and PowerPoint.
Extremely flexible, proactive, highly organized, and ability to shift priorities, multi-task, and handle heavy work flow processing under time-sensitive deadlines.
Ability to work under pressure and manage challenging priorities while staying focused and meeting deadlines without sacrificing accuracy.
Strong verbal/written communication skills, with the ability to interact well with all levels of corporation.
Polished professional demeanor with strong presentation and social skills.
Ability to maintain confidentiality and follow through to complete tasks.
